Please read this document carefully before purchasing, booking, or participating in any Pilates Lab service.
Acceptance through the designated booking platform, electronic signature, or participation in a service constitutes acceptance of the applicable terms.

1. About Pilates Lab and Scope of These Terms

1.1 Pilates Lab. Pilates Lab is a Pilates studio empowered by Be Pilates and located within the ladies-only Powerhouse Gym branch at The Mall Shopping Complex in Doha, Qatar. These terms apply to Pilates Lab classes, private sessions, events, packages, memberships, digital bookings, equipment, and related services.
1.2 Separate services and memberships. A Pilates Lab class credit, package, membership, introductory offer, private-session package, gift card or promotional entitlement provides access only to the Pilates Lab services specifically stated at the time of purchase.
A Pilates Lab purchase does not provide access to the Powerhouse Gym floor, cardio or strength-training machines, Powerhouse Gym group classes, personal training services, InBody testing and wellness services.
Access to Powerhouse Gym services requires a separate and active Powerhouse Gym membership, day pass or written combined offer expressly confirming such access. Similarly, a Powerhouse Gym membership does not automatically include Pilates Lab classes, private sessions, or packages unless this is expressly confirmed in writing as part of a joint offer.
1.3 Package validity across locations. Pilates Lab and Be Pilates packages, memberships, credits, gift cards, promotions, and class entitlements are not interchangeable between locations unless the package description or written communication expressly confirms that they are valid at both locations.
1.4 Shared premises: Compliance with Powerhouse Gym premises rules. Pilates Lab operates within Powerhouse Gym. While entering, leaving, or using any shared area, clients must comply with Powerhouse Gym reception, access, security, parking, locker-room, changing-room, dress, conduct, privacy, health, safety, and emergency procedures.
Clients must follow reasonable instructions given by Pilates Lab instructors, Pilates Lab staff and authorized Powerhouse Gym personnel. Failure to follow such instructions may result in refusal of entry, removal from the premises, suspension or termination of the client’s Pilates Lab account or package, without compensation where the violation involves unsafe, abusive, or serious misconduct.
1.5 Ladies-only location. This Pilates Lab location operates within a ladies-only Powerhouse Gym branch. Clients must respect the privacy, access requirements, and conduct rules of the location. Authorized security personnel, technicians, contractors, suppliers, emergency responders, or other approved persons may enter the premises when reasonably necessary for safety, maintenance, operations, or legal compliance.

2. Booking, Arrival, Attendance, and Studio Conduct

2.1 Arriving for class. Clients should arrive at least 5 minutes before a group class or private session. New clients should arrive at least 10 minutes early to complete check-in and receive an introduction to the Reformer or other apparatus.
2.2 Late arrival. A client arriving more than 10 minutes after a class begins will be denied entry for safety and to avoid disrupting the class. A missed warm-up can increase risk. No refund or returned credit is due when entry is refused because of late arrival.
2.3 Booking confirmation. A place is confirmed only when the booking is successfully completed through the designated booking platform or confirmed in writing by Pilates Lab. Clients are responsible for checking the correct date, time, location, class type, and account used for the booking.
2.4 Group-class cancellations. A group-class booking must be cancelled or changed through the designated booking platform at least 6 hours before the scheduled start time. A late cancellation or no-show will result in the class credit being deducted or the class being charged in full.
2.5 Private session cancellations. A private session must be cancelled or changed at least 12 hours before the scheduled start time. A late cancellation or no-show will result in the session being charged in full.
2.6 Waitlist. Clients may join a waitlist when a class is full. If a place becomes available, the booking platform may add or invite the next eligible client. Clients are responsible for monitoring notifications and cancelling promptly if they can no longer attend.
2.7 Changes by Pilates Lab. Pilates Lab may substitute an instructor, combine or modify a class, or cancel a session where reasonably necessary. If Pilates Lab cancels a paid session, the affected credit will normally be returned or the session rescheduled. A change of instructor alone does not entitle a client to a refund.
2.8 Grip socks and clothing. Grip socks are mandatory for hygiene and safety. Clients must wear suitable exercise clothing and follow any additional safety instructions communicated for a class.
2.9 Phones and personal devices. Phones must be silenced and should not be used during class. A client who needs to respond to an emergency should leave the active exercise area without disrupting the instructor or other participants.
2.10 Photography, videography, and social media. Photography, videography, livestreaming, or recording within Pilates Lab and Powerhouse Gym is not permitted without prior approval. A personal photo may only be taken where no other client, instructor, staff member, confidential information, or private area is visible without consent. Pilates Lab and Powerhouse Gym may request removal of unauthorized content and may suspend access for serious or repeated violations.
2.11 Respectful conduct. Clients must treat instructors, staff, other clients, Powerhouse Gym personnel, and visitors with respect. Harassment, discrimination, threatening conduct, abusive language, unsafe behavior, deliberate disruption, or damage to property will not be tolerated and may result in removal, suspension, or termination of access without compensation where appropriate.
2.12 Hygiene and equipment care. Clients must follow hygiene instructions, use towels or cleaning materials where provided, and leave equipment in a safe and tidy condition. Food, glass containers, and any item that creates a safety risk are not permitted in active exercise areas. Damage, defects, spills, or hazards must be reported immediately.
2.13 Personal belongings. Clients are responsible for their own belongings. Pilates Lab is not responsible for lost, stolen, misplaced, or damaged property except to the extent responsibility cannot be excluded under applicable law. Unclaimed property may be retained for a reasonable period and then disposed of or donated.

3. Purchases, Packages, Memberships, and Refunds

3.1 Prices and payment. Prices are stated in Qatari Riyals unless otherwise indicated. Payment must be completed using an accepted payment method. Clients are responsible for providing accurate billing details and for resolving failed, reversed, or disputed payments.
3.2 Package activation and expiry. Packages, memberships, credits, introductory offers, and gift cards must be activated and used within the validity period shown at purchase. Unused sessions expire at the end of that period.
3.3 Personal and non-transferable use. Bookings, memberships, packages, and account credentials are personal to the named client and may not be shared, resold, transferred, or used by another person.
3.4 Promotions. Promotional prices and special offers may have additional conditions, limited availability, excluded dates, or shorter validity periods. Promotions cannot be combined, exchanged for cash, extended, or applied retrospectively.
3.5 Events and third-party collaborations. Workshops, special events, and collaborations may have separate booking, cancellation, refund, or participation terms. Those event-specific conditions will apply in addition to this document and will prevail where there is a direct conflict.
3.6 Temporary closure and force majeure. Pilates Lab may temporarily close or adjust services due to maintenance, public authority requirements, emergencies, building restrictions, public holidays, safety concerns, events beyond reasonable control, or operational necessity. Pilates Lab will determine a fair remedy, if any, based on the circumstances, the affected service, and applicable law.

4. Health, Safety, Pregnancy, and Minors

4.1 Health disclosure. Clients must inform the instructor or reception team before class of any injury, pain, illness, medical condition, surgery, physical limitation, pregnancy, suspected pregnancy, postpartum status, medication effect, or other issue that may affect safe participation. Clients must also communicate material changes in their condition.
4.2 Medical advice and clearance. Pilates Lab instructors do not provide medical diagnosis or treatment. Clients should obtain advice and, where appropriate, written clearance from a qualified healthcare professional before beginning or continuing an exercise program, particularly following injury, surgery, pregnancy, childbirth, or a significant health change.
4.3 Pregnancy and postpartum participation. A client who is pregnant, suspects pregnancy, or is returning postpartum must notify Pilates Lab before participating. Pilates Lab may require healthcare-provider clearance, recommend a private assessment, modify exercises, restrict participation in certain classes, or request that participation be postponed when reasonably necessary for safety.
4.4 Illness and communicable conditions. Clients should not attend when unwell, contagious, or unable to exercise safely. Pilates Lab may refuse participation or ask a client to leave where symptoms or conduct create a material health or safety concern for the client or others.
4.5 Following instructions. Clients must use equipment only as instructed, remain attentive, avoid adjusting apparatus without permission, and stop immediately if they experience unusual pain, dizziness, shortness of breath, faintness, or other concerning symptoms. An instructor may modify or stop a client’s participation when reasonably necessary.
4.6 Emergency assistance. In an emergency, Pilates Lab or Powerhouse Gym personnel may contact emergency services and provide reasonable first assistance. The client is responsible for medical and transport costs unless applicable law provides otherwise. Clients should maintain accurate emergency contact information.
4.7 Minors. A person under 18 may participate only where the relevant service permits minors and a parent or legal guardian has provided the required written or electronic consent. Pilates Lab may request identification or supporting documents.

5. Privacy, Communications, and Intellectual Property

5.1 Personal data. Pilates Lab may collect and process information needed to create and manage accounts, take bookings and payments, provide services, record health and emergency information, respond to enquiries and complaints, manage incidents, improve operations, prevent fraud, comply with legal duties, and maintain safety and security.
5.2 Service providers and shared systems. Information may be processed through approved booking, payment, communications, hosting, customer-management, professional-adviser, or technology providers. Where operationally necessary, limited information may also be shared with Be Pilates, Powerhouse Gym, emergency responders, regulators, or authorities, subject to applicable law and appropriate safeguards.
5.3 Health information. Health and injury information should be limited to what is relevant for safe participation and service delivery. Clients should not submit unnecessary medical records. Access will be limited to personnel who reasonably require the information for safety, operations, incident handling, or legal compliance.
5.4 Marketing communications. Promotional emails, messages, or notifications will be sent in accordance with the client’s communication choices and applicable law. Marketing consent is separate from the acceptance needed to manage an account or deliver a purchased service. Clients may unsubscribe or change preferences using the available method or by contacting Pilates Lab.
5.5 Client rights and retention. Personal data will be retained only for as long as reasonably necessary for the stated purposes, legal compliance, dispute management, and legitimate business records. Subject to applicable law, clients may request access, correction, or other available rights by contacting the customer service details listed in this document.
5.6 Intellectual property. Pilates Lab and its licensors retain all rights in class formats, teaching materials, programs, photographs, videos, branding, logos, designs, digital content, and other proprietary materials. Clients may not record, reproduce, distribute, sell, teach, publish, or commercially exploit these materials without prior written permission.

6. Health Declaration, Assumption of Risk, and Liability Waiver

6.1 Acknowledgment of exercise risks. I understand that Pilates, fitness, stretching, mobility work, and the use of Reformers, mats, springs, straps, boxes, rings, bands, weights, and other equipment involve inherent risks. These may include strains, sprains, falls, loss of balance, aggravation of an existing condition, or other injury despite reasonable instruction and supervision.
6.2 Voluntary participation. I voluntarily choose to participate and accept the ordinary and inherent risks associated with the activities I undertake. I confirm, to the best of my knowledge, that I am physically able to participate safely and that I have disclosed relevant health information as required by this document.
6.3 Personal responsibility. I agree to follow instructions, use equipment responsibly, exercise within my abilities, and stop or seek assistance when I experience pain or concerning symptoms. I understand that an instructor may provide general modifications but cannot guarantee that every activity will be suitable for my individual condition.
6.4 Limitation of liability. To the fullest extent permitted by applicable law, Pilates Lab, its legal operator, Be Pilates, Powerhouse Gym, and their respective owners, employees, instructors, contractors, representatives, and agents are not responsible for loss, damage, or injury resulting from the ordinary inherent risks of voluntary participation, a client’s failure to disclose relevant information, misuse of equipment, disregard of instructions, or breach of these terms. Nothing in this document excludes or limits liability that cannot legally be excluded or limited.
6.5 Indemnity for client misconduct. To the extent permitted by law, I agree to be responsible for loss or third-party claims directly caused by my intentional misconduct, reckless behavior, unauthorized instruction of others, deliberate damage, or material breach of these terms. This clause does not require me to indemnify a party for responsibility that cannot legally be transferred to me.
6.6 Governing law and jurisdiction. These terms and this waiver are governed by the laws of the State of Qatar. Any dispute will be subject to the jurisdiction of the competent courts of Qatar, unless the parties agree to another lawful dispute-resolution process.
6.7 Severability and non-waiver. If any provision is found invalid, illegal, or unenforceable, the remaining provisions will continue to apply. A delay or failure by Pilates Lab to enforce a provision does not permanently waive its right to enforce that provision later.
6.8 Updates. Pilates Lab may update these terms for legal, safety, operational, or service reasons. The current version will be made available through the booking platform, website, studio, or another reasonable method. Changes will not unfairly remove an existing paid entitlement and will apply subject to applicable law.

By signing, accepting electronically, or proceeding with a booking after being given access to these terms, I confirm that I have read and understood the applicable terms, studio policies, health declaration, and waiver. I have had the opportunity to ask questions and I voluntarily agree to comply with them.
